I wanted to send you all a quick note to explain the election process coming up next month and to send my final update and thanks to all the members and volunteers for a great season.
On Thursday June 15th at 7PM in the upstairs meeting room at Navin, Triboro will hold it's annual election of the Board of Directors. As a family in good standing (have a child registered for the 2017/18 season and have paid all outstanding registration balances) you are entitled to attend the meeting and vote for the Directors (one person from each family can cast one vote for each board member up to the maximum number of board members allowed in the by laws).
Being a member of the Board comes with great responsibility and requires a high level of commitment in both time and energy. The board of Directors formally meet once a month on the third Thursday at 7pm for eleven months and there are typically four to five special meetings during the season called for various reasons. As a board member you are asked to attend all meetings and can be subject to removal from the board for missing as little as three regular meetings. In addition to the duties required by the board, each board member also holds a position responsible for certain functional tasks required to keep Triboro operating. Each board member is nominated to their respective position by another board member and a vote is required to appoint each member to their position. The positions include the Executive Board (President, Vice President of Operations, Vice President of Administration, Treasurer and Secretary) as well as positions for Marketing, Fund Raising, Ice Scheduler, Registrar, Webmaster, Equipment, Tournaments, Safety/Policies/Procedures and Coaching Coordinator.
Typically, members who are thinking about joining the board attend meetings as guests during the season to get a feel for what is involved and to meet the Board members prior to elections. However, last year we had members appear at the Annual Election and ask to be placed on the ballot. Therefore I want to explain the process for anyone interested in being considered to be added to the board. In order to be added to the ballot, a member must be nominated by an existing board member who is present at the annual meeting and the motion must have a second by another board member who is present. If you are nominated I will ask you for a brief explanation of why you want to join the board and why you think you can help the organization. The motion to be nominated must pass with a majority vote of the board. Once all candidates who are eligible are verified by the Secretary, a ballot will be created, copied and distributed to the members at the meeting eligible to vote and a vote will occur.
Since this will likely be the final email to you before the summer officially kicks off, I wanted to thank you all for your support, suggestions and feedback you provided during the year. Your board of Directors worked hard this year to improve the organization especially in the areas of evaluations and team selections based on the feedback we received last season. This season we completed fourteen on ice evaluations in less than one month and there were more then forty people involved in the process to evaluate the players and select the teams. Each teams roster was submitted by a five to six member coaching committee at each age level to the Board and each roster was voted upon by the entire board of Directors. In the Fall the coaching committee will again attend practices to identify any players that need to move up based on development over the summer or the addition or loss of players.
I also want to extend my thanks to the members of the coaching committees, the on ice coaches and the Coaching coordinator and Registrar for their dedication and effort to provide a fair and transparent process. I also would like to thank the entire Board of Directors for the work you did this season to improve our program. Next year we look forward to continued actions/efforts to ratify additional updates to the Policies, Procedures and By Laws to further improve our program. We also plan to focus on increased Marketing efforts including the possibility of updating our uniforms and creating a real away Black Jersey!
